An immediate full time position has come fruition for a build contractor based near Romsey seeking an experienced Admin Manager ideally someone from a construction related background would be useful but not essential.

Job Purpose/Background:

Responsible for working closely with and supporting the Branch Manager with all administrative duties, ensuring the branch runs smoothly with a particular emphasis on following company processes and ensuring compliance.

Key Responsibilities:

· Managing Branch Administration within applicable systems

· Liaise with IT and Digital team to understand and undertake required training in our Core Dynamics Central IT system

· Responsibilities which come under your remit for the branch may include: Dynamics mobile platform, scheduling tools, Sharepoint, H.R., Payroll, Finance, Training. This is not an exhaustive list and is dependent on your branch workstreams and portfolio.

· Where applicable, you are required to manage and understand the administration on Client integrated systems, liaise closely with your branch team and IT department to ensure effective management and communication of information.

· Evision System

· Excellent working knowledge of the ERP system is critical in this role. The ERP system includes the following specific duties:

· Setting up jobs

· Place, verify, receipt and post all orders for Purchase, Plant and Subcontractor

· Verify and receipt Purchase and Subcontracts Orders

· Check and receipt external plant worksheet on a regular basis as required

· Resolve queries timely raised by the Head Office Team such as the Credit Control and Purchase Ledger departments.

· Assist with raising and posting Sales Invoices and Credit Notes

· Assist/Post (depending on branch) monthly CVR reports

· Ensure that all new branch Staff undertake the appropriate training on the ERP and all other digital systems used by the branch

· Monitor EPR process and use in the branch and highlight any potential issues to your Branch Manager or the ERP Helpdesk to allow any issues to be resolved timely

· Carefully monitor ERP tasks ensuring that any blockages are actioned and raised with the appropriate person

· Communicate any new processes to the Branch team ensuring they understand what is required

· Ensure compliance with all Management System processes in the branch including GDPR, Group Policies, QMS, EMS and H&S in line with guidance from Compliance Team

· Ensure Compliance team communication is disseminated to the rest of the branch effectively

· Initiate and follow new employee starter process

· Record new start information and forward to Head Office

· Attend weekly Branch Meeting

· Ensure any communication requested to be issued to the team is actioned timely

· Attending any meetings where requested to do so and taking accurate notes / actions

· Responding to incoming communications such as calls and emails

· Maintain and order office supplies as necessary

· Processing wages

· General filing and office duties

· Incoming call handling

· Manage and ensure maintenance of office facilities and equipment

· Management of training

· Various HR processes

· Assistance with transport management

· Managing admin staff where applicable

· Admin support to Branch and Regional staff

· Updating of online certification System (FIRAS/IFC)

· Updating/Recording of Non access appointment evidence

Knowledge / Experience:

· Experience of working in a busy office environment

· Outstanding Customer Service skills

· Exceptional communication skills both written and verbal

· Professional and polite telephone manner

· Excellent Interpersonal skills

· Computer literate – with good knowledge of Excel and Word and ability to pick up new systems quickly

· Ability to work under pressure, manage deadlines effectively and prioritise workload

· A high level of accuracy when inputting a large amount of similar data

· Able to work in a team and alone using own initiative

· A positive and friendly manner

They have a very friendly team working environment where there will be plenty of support working for a very large national contractor with over 40 branches nationally.
