Production Administrator

Are you an organized and detail-oriented individual looking for an exciting opportunity within an engineering organization? We are seeking a dedicated Production Administrator to join our dynamic team in Portsmouth.

Monday - Thursday: 7.30am - 4pm, 12.30pm finish on a Friday

Role Overview:

The Production Administrator will report directly to the Operations Manager and play a crucial role in our production department, ensuring smooth administrative processes and effective communication.

Key Responsibilities:

  • Production Administrator is responsible for receiving and booking in customer orders and completing contract/tender reviews with the appropriate area manager or engineer.
  • Producing work order cards and release notes.
  • Creating invoices and passing them to the Quality Department.
  • Handling external telephone enquiries regarding metal finishing and ensuring they are dealt with or referred to the relevant personnel.
  • Maintaining all necessary documentation, including works order cards, tender/contract reviews, scanning for archives, and any relevant associated records.
  • Performing any necessary clerical duties within the Production Department office.
  • Ensuring all PPE is in good working order with the appropriate manager for the area and updating the Operations Manager immediately of any problems.
  • Keeping workstation clean and tidy.
  • Providing day-to-day administrative support for the Operations Manager.
  • Ensuring holiday is booked onto the system and sickness absence is reported to HR, chasing Department managers where required.
  • Ensuring Departmental managers have recorded and submitted overtime to Payroll.
  • Coordinating training for Production in collaboration with HR.
  • Complying with and enforcing all H&S and Environmental requirements as instructed.
  • Providing reception cover on a rota basis.
  • Liaising with your manager to identify any training requirements as part of your personal development.
  • Completing all mandatory training as required.
  • Performing any other tasks as instructed by the Operations Manager.
